(University Classrooms and Proprietary Space)
5.1 University Classrooms
These are the lecture rooms which are controlled by University Academic Scheduling.
5.1.1 Getting a Different Classroom for Your Lecture Class:
* This Semester: See your department administrative support coordinator to see if other rooms are available.
* Future Semesters: See your department administrative support coordinator as soon as possible. Changes must be requested early.
5.2 Proprietary Space
These are facilities under the control of individual departments and colleges.
5.2.1 University Space: All lecture rooms on campus that are not specifically reserved for departments and are labeled "Department Sole Use". The use of these must be scheduled by the Department or Dean's Office. The university may change your reservation if it can better use the facilities with another class.
5.2.2 College/Department Teaching Laboratories: Department Sole Use (DSU):
This space is normally scheduled and controlled by each individual department and may be used by outside departments only after each department has submitted its scheduling.
* Scheduling is done by the department chair.
* Changes in room use are negotiated within the department.
5.2.3 Individual Research Laboratories:
* Individual research space is negotiated with your department chair and other members of the department.
* In some instances departments trade spaces.
5.3 University Units Responsible for Repairs to University Facilities
5.3.1 Facilities Management
Facilities Management is the University department which employs electricians, plumbers, landscape personnel, custodians, etc. It is charged with maintenance and repair of existing university facilities. Departments and individuals may not enter into private agreements with outside contractors to do repairs.
5.3.2 CNSM Shops:
The Shops are located in PH2, rooms 11 and 12. Jim McKibben is the shop director. Charles Zamfir is the other staff member.
5.4 Obtaining Repairs to Facilities
5.4.1 Emergency repairs:
--CALL 5HELP (5-4357).
5.4.2 Repairs to University Classrooms: CALL 5HELP (54357)
* It is your responsibility to report problems in university classrooms, as custodians normally do not do that.
* Call Facilities Management (5-HELP) to report problems with broken lighting, blackboards, chairs, heating, electrical outlets, etc. Ask for the "work order" number assigned to your call so that you can track progress. You may have to call several times, ( the "squeaky wheel gets the grease").
* Call or visit Audio Visual Services (ext. 2392) (LA1- 107) to request additional audio visual equipment or to report problems with overhead projectors, slide projectors, and other multimedia equipment.
* If there are significant changes that should be made to the classrooms, please discuss these with Dr. Loeschen so he can put them on the lists for all-university repairs.
5.4.3 Repairs to College Space (Facilities Management and/or CNSM Shops):
Facilites Mangement:
* Each project requires the submission of a work order by your department.
* All work orders must include the departmental or college funding account numbers that will be used.
WORK DONE BY THEM MAY NOT BE FREE. FM will repair for free most situations where existing plumbing, electrical, or lighting fixtures have broken during normal use. FM will charge the department for: repairs of breakage that they determine was not caused by normal use, repairs to equipment that belongs to the department, new installations of electrical and plumbing facilities, for renovations and painting of all college rooms, and re-keying rooms.
CNSM Shops
The individuals in our shops have experience in woodworking, electronics, metal working, and some instrument design. They work with faculty and staff to: repair department and college equipment, build new equipment, help with installation of new equipment, and perform minor room renovations.
While their main purpose is to repair and build equipment for research and teaching, some room alterations are done by the shops using "self-help" work orders. We work with Facilities Management to determine what portions we are allowed to do and what must be done by FM. This process also takes much longer than you might expect since we have to follow all the rules that outside contractors have to follow, including all the drawings, etc. It will often take 3 months from the time we propose a change until FM grants us the right to do it.
Please discuss proposed changes with Dr. Loeschen [ext. 4939] prior to having your department submit a work order for renovations, as FM charges are often much higher than expected.
5.5 Major Renovations and Changes in Room Configurations in CNSM Laboratories:
Significant renovations in laboratory space:
* may be done during the summers by CNSM shop personnel in cooperation with Facilities Management. This method is often the cheapest and fastest if the renovations are not too significant.
* may be done totally by Facilities Management, often with the assistance of outside contractors that they provide. There are usually lag times and significant costs that the department must bear.
* may be done by using Minor Capital Outlay program, which finances $50,000 - $200,000 projects out of funds specifically provided by the state. There are many requests for these funds and the amounts of money the state provides varies each year. There is usually a 2-3 year period between the requests and the actual performance of the work, but if you have projects that can stand a two year delay, it is a good method to get major changes in facilities.
5.6 Furniture for the Offices of New Faculty:
Each Department is responsible for obtaining furniture for offices and laboratories. Most office furniture purchased by state funds has to go through purchasing and there may be rules as to what one can purchase. In addition, the Prison Industry Authority in the State has contracts for much of the furniture and may have first refusal rights. Discuss any purchases with your department chair before making the purchase. All furnishings must meet State Fire Code requirements.
5.7 Obtaining Supplies for Your Teaching and Research Labs
Work with your department staff concerning supplies for teaching laboratories, but you must remember that there are always lag times and you must think ahead for the next semester's needs.
Do not assume that the department or the College will reimburse you for "out of pocket" expenses if you have not discussed it with them first.
If you need materials for your teaching or research laboratories and do not feel they should be covered by your grants, SEE THE DEPARTMENT CHAIR, not College personnel. Departments have the responsibility for maintaining their facilities and must budget their purchases.
5.8 Disposing of Old Equipment and Furniture
Please call Dr. Loeschen [ext. 4939] for assistance. Please do not simply set unused equipment, etc. out in the hallway and hope it will disappear. Custodians do not remove material from the hallways.
